The Staples Easy Rebate Denial Postcard

I’m just going to come out and say that I don’t really like Staples. In my experience their customer service leaves a lot to be desired and they are inconsistent with the way they enforce their policies and coupons, even when it violates the fine print.

Of course on the flip side I shop at Staples quite often because of the ability to get cheap Staples gift cards, 5x with the Chase Ink and their Visa/MC gift card Easy Rebate deals. In fact, one of the bright spots regarding Staples is their Easy Rebate program.

Staples Easy Rebates

The way it works is you go online, enter the code from your receipt and input your information. The system verifies your purchase and what you qualify for and they mail you the rebate within 6-8 weeks. Very easy, until it isn’t.

The Rebate Denial

Several people I know including myself received rebate denial postcards this week from Staples.

The postcards say:

“Dear Consumer,

Thank you for participating in the Master Card Gift Cards promotion. Unfortunately, we could not honor your request due to the following reason(s):

  • Master Card Gift Cards Missing Purchase Amount
  • All required products were not submitted

To resubmit for this offer, you must return this card and any validating information to the address shown on the reverse side by 5/7/2015.”

As you can tell this is a bunch of rubbish. How could the Mastercard gift cards be missing the purchase amount? How could I have not submitted all of the information? Remember all I have to do is put in the number from my receipt and their system does the rest.

How To Contact Staples Easy Rebates

Thankfully this has happened to me before. In fact, it happened on 8 kindles that I purchased during the resale deal I wrote about. The easiest way to get this type of situation resolved is to email Staples Rewards. Unfortunately they do not make it easy to find that option.

To contact Staples, head over to the Staples Easy Rebates website and click on FAQ at the very bottom. On the FAQ page you will see a “Contact Us” button. The Contact Us page contains a form you can fill out and a chat option if someone is available. Here is a direct link.

My Resolution

After receiving this postcard the other day I filled out the form requesting that this matter be fixed. Within 48 hours I had received an automated email from Staples Rewards saying that the rebate card had shipped. So they fixed it, but never felt the need to actually email me back about it. Oh Staples and your terrible customer service!

If you ever receive a card like this one for a rebate, simply head to the Contact Us page and let them know what is going on. Chances are it is just a system glitch and that they will fix it right away. Have you received a similar postcard? Let me know in the comments.

  1. I just wasted 2 stamps, 2 envelopes and a lot of time. We should be compensated for their incompetence in this matter.

  2. I’ll join a hundred others and say that it appears it was system glitch. I got a denial and then approval notice so…. The denial didnt match my tracking number though and approval did. Some how a dupe and deny occurred. Probably a system database migration glitch.

  3. Same thing happened to my two accounts. And the tracking numbers didn’t match. Customer service (yesterday) said there was a computer glitch that sent out the postcards, but the system them righted itself. Rebate cards will be mailed. As far as I can tell, no need to call CS.

  4. I did not have any paperwork for the rebate # on the card. I did have paperwork for another which said it was verified so I don’t know what to make of it. I do think I lost out on a rebate of 2 cases of paper I really didn’t need but should have been free. I’ve done a lot of rebates with Staples and those and duplicates for my work have been the only issues.

  5. Got the same post card but the number on it didn’t match any of my rebates, got an email today saying that my mastercard rebate is on the way. Must be a system flaw

  6. I got the same postcard……I wrote them a nasty note saying the next time this happened I was going to write every member of Staples board of directors and tell them why I was now shopping at Office Depot. It cost me time, printing out the receipt and a stamp……….they are horrible at customer service on rebates……their store staff is ok for me.

  7. Also if I had to choose a worse run company Walmart or Staples, Walmart would win hands down. Their employees don’t care to be there and work at a snails pace. At least at staples they try to ask if you need any help.

    • I’m sure it’s YMMV but if I had to rate the local Staples and Walmart on service 1-5 I’d probably give Staples 2 and Wal-Mart 1. To me, they both fail and the marginal difference between the two is negligible. A turd is still a turd, even if it’s slightly more polished.

I’ve actually stopped utilizing Staples for money making opportunities. For me personally the time. and energy suck is too great. There used to be one nice/intelligent manager but she left (probably doesn’t fit their culture). The new manager is a douche and there are so many new faces that they’re for the most part clueless.

  8. Staples rebate program is run by parago who processes all the rebates. They can be annoying to deal with at times but I find the chat online to be easy enough
I personally am a fan of staples customer service, but it is very much YMMV from store to store. But having a personal customer service rep with premier rewards is clutch in getting anything taken care of that arises.

    • I have a contact as high up as the president’s office, but shouldn’t need one. The fact that so much has to be escalated is just tiresome. This company is very poorly run and their employees in store are generally not trained very well. In most cases their managers are terrible as well, although I have met quite a few nice ones.

      • Well maybe there will be a change when they merge with Office Depot, but doubtful. I agree a lot of the employees are clueless to what is going on most of the time which can be frustrating at times, but other times can be helpful when you are buying dozens of GCs and they don’t blink an eye.

      • Name one chain store where employees are trained well and paid enough to care? All are shitty. Just some more so than others.

Reality is the more sales and promos, the worse the company. Successful, well run companies don’t need to resort to silly, non stop promos to get you in the door.

As such, complaining about shitty service from a shitty company is a bit ridiculous. You should expect that going in…

        • The point of this post wasn’t to complain about Staples customer service so I’m not sure what you are getting at. You are definitely right about the promos. The office supply category is no doubt struggling which is why we are seeing consolidation.

  9. I got a similar postcard but the tracking number did not match the tracking number on my rebate, so I did nothing. I then received an email several days later saying my rebate is on it’s way. A screw up in their system??
